Spectrum Health Carefree Living is currently seeking candidates for a Full-Time Administrative Assistant to join our team.

This is a fast-paced environment, requiring the ability to multitask and prioritize. Organizational skills, flexibility, and professionalism are required.

Hours are typically Monday thru Friday, 8am-430pm. Alternate hours based on the needs of the community.

POSITION SUMMARY: This Administrative position will provide support to the Executive Management team, the staff, residents and families of the community. This position will be based out of Virginia MN and Buhl MN.

Duties include, but are not limited to:

  • Receiving and addressing phone calls, faxes, walk-ins, and general inquiries.
  • Participate in recruitment and hiring process; Set up files for new employees, ensuring all necessary paperwork is completed and forwarded to appropriate areas in a timely manner. Maintaining personnel files. Run DHS background checks and monitor statuses.
  • Assign new employees access to appropriate applications, emails, etc.
  • Assist in managing recruitment strategies and processes related to sourcing, and screening and determining appropriate staffing needs for the facilities.
  • Assist in seeking out career fairs, networking events, and workshops to gain industry knowledge, seek out top talent as requested. Communicate with facilities on upcoming events.
  • Coordinate and assist with scheduling and payroll as needed or directed.
  • Ensure reports are prepared and filed in an accurate and timely manner. Create, maintain and prepare documents, correspondence, reports and databases using available computer hardware and software and other office machines; treat information acquired in course of work confidentially and responsibly.
  • Work effectively to be able to balance stress while working on multiple projects.
  • Ability to prioritize, stay organized, and work efficiently.
  • Assist with tracking of employee required training through Relias/Educare to maintain compliance.
  • Exhibit desirable and appropriate behavior including integrity and ability to get along with others. Must be a team player and assist in providing a cohesive working environment dedicated to achieving the organizations goals.
  • Participate and attend required meetings in person or virtually/via Teams as assigned.
  • Any other duties assigned or requested by the Executive Management team.

QUALIFICATIONS

  • Reliability, team player, professional grooming, positive attitude and a passion for working with the elderly are required.
  • A minimum of two years of administrative experience preferred, preferably in a healthcare setting.
  • Some post-high school education, advanced degree preferred.
  • Position requires candidates to have a high level of computer proficiency using Microsoft, excel, word, outlook and other healthcare related software and office equipment.
  • Candidates will be subject to a criminal background study and must be able to meet the physical requirements of the position.

PHYSICAL ESSENTIAL FUNCTIONS:

  • Must be able to remain in a stationary position (sitting/standing) in front of a computer for an 8-hour workday.
  • Ability to occasionally move about inside the office to access file cabinets, office machinery, etc.
  • Constantly operate a computer and other office machinery, such as a copy machine, scanner and printer
  • Ability to frequently communicate with the executive management team, employees, and potential staff who have inquiries about their employment status and/or conduct interviews.
  • Ability to make thoughtful decisions, read, write, speak publicly, and interpret data.
